FAQs & Race Policies
Are refunds available if I can’t make it?
No. All registration fees are non-refundable and non-transferable.
Are your races walker-friendly?
Yes! Walkers are always welcome. Be sure to register as a walker. All races have a walking division in the 5K. Races that have a 10K do not have a walking division for the 10K. You are welcome to walk the 10K but there are no separate awards given to walkers. Only walkers in the 5K are awarded separately.
Do you allow virtual runs if I am unable to make it?
Yes! There is a virtual option for each race in the Ole Brook Run Series. You must register as a virtual participant. For more information on the virtual option, click here.
Is there a limit on how many runners can participate in each race?
We currently cap the Ole Brook Run Series races at 200 participants.
Who will benefit from the races?
Defining Moment Events LLC is proud to partner with several great charities with our events. Through our events we are able to make a donation to these charities with a portion of the proceeds. Registration fees also cover participant items such as t-shirts, medals, and all the necessary expenses required to give you an outstanding event.
Does the registration include a t-shirt?
5K and 10K participants will receive t-shirts with their event registration. The 1 Mile Kids Run registration does not include a t-shirt. We do this in order to keep the cost as low as possible for families with kids. T-shirts are never guaranteed after the t-shirt deadline for each event. If there are extra t-shirts, they will be available for purchase at the event.
Can I still get my t-shirt if I am unable to make it?
If someone you know is able to pick it up for you at the event we will allow them to do so. You must let us know ahead of time who will be picking it up for you. We will not mail t-shirts unless you are registered as virtual participant and paid the required shipping cost.
Do I have to stay for the awards presentation to get my award?
Yes. We will not mail awards. No exceptions.
Are the race courses challenging?
The courses stay somewhat consistent from race to race, with a few minor changes. The courses are considered easy to moderately challenging. There a few challenging hills but overall the courses are mostly flat.
Will results and times be posted?
Yes. Southern Race Timing will be our timer and results will be posted on the event pages on the Ole Brook Run Series website.
Are strollers allowed?
Yes strollers are welcome, but please be mindful of other runners and use caution. Runners/Walkers pushing strollers will be asked to start towards the back.
Are pets allowed?
No. Due to safety concerns of other runners, we do not allow pets.
Can I wear headphones during the race?
Yes. Just be cautious and aware of other runners, and be sure you can hear instructions and are able to hear any oncoming traffic.
How can I, or my business, become a sponsor of the Ole Brook Run Series?
We would love to talk to you about how you can partner with us as a sponsor. Please email us at firstname.lastname@example.org!
There are no refunds for this event. All payments are final.
Ole Brook Run Series events are rain or shine events. In the event of inclement weather we may adjust the start time in order to avoid cancellation, but we will not change the date of the event. Any changes to the schedule will be communicated through the Defining Moment Events Facebook page and via email. The event would only be cancelled if weather conditions were determined too dangerous and risked the safety of participants and volunteers.
All participants and volunteers must sign a race waiver. Any participants under the age of 18 must have a waiver signed by a parent or legal guardian. All online registrations include the race waiver.
Discounts/Sales/Coupon Codes/Special Offers
Occasionally at various times prior to the race, Defining Moment Events LLC may offer promotional discounts and sales as a part of the marketing of the event. All offers and discounts are intended for future participants and new registrations. Defining Moment Events LLC is under no obligation to provide a retroactive credit on existing registrations.
Walkers must walk! Participants who are registered as a walker and are competing in the walking category must walk at all times. Walkers are not permitted to run at any time, including the final stretch to the finish line. Runners may walk if needed, but walkers can never run. Speed walking is fine, but both feet can never leave the ground at the same time. Walkers who are caught running will be moved to the running category and will not qualify for winning in the walking category.
All volunteers are expected to be present at their assigned post for the duration of the event. Volunteers are not allowed to participate in the race. All volunteers must sign a race waiver.
All participants are expected to adhere to all signs and safety instructions given. The course will not be closed to traffic with the exception of certain spots. Police officers, firefighters, and volunteers will be available on the route to help monitor traffic. All participants are expected to follow any instructions given by any law enforcement or volunteer traffic control personnel.
Any participant who conducts himself or herself in an unsportsmanlike manner or who is offensive in action or language to event officials, other participants, or volunteers may be disqualified and asked to leave the event.
Any weapons such as guns, knives, sharp objects, or any items that could cause harm to other participants are not allowed.
We simply ask that you dress in a manor that is appropriate for a family-friendly event. Running shirtless is discouraged. Defining Moment Events reserves the right to remove any participant that is dressed distastefully.
Bib numbers must be visible at all times. Bibs must be worn on the front of the body. Race timing is provided by Southern Race Timing LLC. Awards are given based on official time results.
Pets are not allowed at this event. Participants are not permitted to run or walk with animals.
Please be considerate and respectful of other participants at all times. Please remember these common running courtesies while on the course:
When running in groups, try not to be more than 3-4 abreast so that others can pass as needed.
Refrain from spitting or blowing your nose in a way that could hit other runners.
Use phrases like "on your right" or "on your left" when passing other runners.
Move over for faster runners to pass.
Do not stop abruptly to tie your shoe or to drink water.
BE KIND...It's always worth it.
